Privacy Policy

This Privacy Policy explains how Appvora Technologies ("Appvora", "we", "us") collects, uses, and protects information when you use our coaching institute management platform.

1. Who this applies to

Appvora is used by institute admins and staff (as customers) to manage student and academic records. For student and guardian data entered by an institute, that institute is the data controller and Appvoraacts as the data processor — we handle that data on the institute's instructions and don't use it for our own independent purposes.

2. Information we collect

We collect the following categories of information:

• Account information: name, email, and role (admin, teacher, or student) for anyone who signs in.
• Institute data: institute name, branding, timezone, and academic settings entered by admins.
• Student and academic records: names, contact details, guardian information, enrollment, attendance, exam and assignment results, and fee/payment records entered by institute staff.
• Payment information: subscription billing is handled entirely by Razorpay; we don't store your card or bank details ourselves, only the subscription and payment status Razorpay reports back to us.
• Usage data: basic technical information such as sign-in timestamps and session activity, used to keep the service secure and working correctly.

3. How we use information

We use the information above to:

• Provide, maintain, and secure the Appvora service.
• Authenticate users and enforce each institute's access permissions.
• Process subscription payments and communicate billing status.
• Respond to support requests.
• Meet legal and regulatory obligations.

We do not sell personal data, and we do not use student data for advertising.

4. Where data is stored and who we share it with

Appvorais built on Google Firebase (Firestore, Authentication, Cloud Functions, and Storage), which stores and processes data on our behalf under Google Cloud's security and compliance commitments. Subscription payments are processed by Razorpay. We share data with these providers only to the extent needed to run the service — never for their independent marketing use.

5. Cookies and sessions

We use a single, essential session cookie to keep you signed in and to protect the dashboard from unauthorized access. It's httpOnly (not readable by page scripts), expires automatically after a fixed period, and is cleared when you sign out. We don't use advertising or third-party tracking cookies.

6. Data about minors

Coaching institutes often manage records for students under 18. This data is entered and controlled by the institute, not collected by us directly from minors. Institutes are responsible for obtaining any parental/guardian consent required to store their students' information, consistent with applicable law, including India's Digital Personal Data Protection Act, 2023.

7. Data retention

We retain institute and student data for as long as the institute's account is active, plus a reasonable period after cancellation to allow for data export or account recovery, unless a shorter period is requested or a longer period is required by law. An institute admin can request deletion of their institute's data by contacting us.

8. Your rights

Depending on your role and applicable law, you may have the right to access, correct, export, or request deletion of personal data. Institute admins can manage most student and staff records directly from the dashboard; for anything else, contact us at support@appvora.com.

9. Security

Access to institute data is scoped by role at the database level, subscription payments never touch our servers directly, and administrative access to production data is restricted to what's needed to operate the service. No method of transmission or storage is 100% secure, but we work to protect your data using industry-standard practices.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the effective date above.
